Your Role: Operations Administrator – Facilitating Administrative Support for Field and Project Teams
As an Operations Administrator, you will serve as a key administrative resource supporting the smooth execution of heavy civil construction projects. Working closely with project managers, engineers, and field staff, you will coordinate travel logistics, manage subcontractor documentation, and facilitate effective communication between internal teams and external partners.
This position is ideal for someone who is adaptable, detail-oriented, and thrives in a fast-paced environment.
What You’ll Do:
- Coordinate travel arrangements for project staff including flights, hotels, and long-term rentals. This may include securing corporate hotel rates for new job sites and working directly with foremen and field crews.
- Manage subcontractor contract initiation for new projects by preparing comprehensive subcontractor packets that include executed contracts, safety requirements, licensure and certification criteria, and project-specific details.
- Receive and review subcontractor documentation such as contracts, bonds, safety plans, and certificates of insurance. Provide ongoing support throughout the project lifecycle, including issuing and tracking change orders.
- Act as a liaison between internal project teams and subcontractors to facilitate smooth communication, documentation compliance, and change order resolution.
- Maintain city business licenses for each project by opening, renewing, or closing licenses based on project activity.
- Schedule and coordinate internal operations meetings, including calendar invites and room bookings.
- Update LCPtracker by adding new jobs and new subcontractors into the system.
- Perform other duties and tasks assigned.
What You’ll Need:
- Entry-level administrative experience (0+ years) with an eagerness to learn and grow.
- Proficiency in Microsoft Word with the ability to create, edit, and manage professional documents.
- Strong time management and multitasking skills; able to prioritize effectively while handling shifting demands and multiple deadlines.
- High attention to detail, especially when reviewing contracts, licenses, and project documentation.
- Strong Initiative; ability to jump on new tasks as they arise.
- Clear and concise communication skills; able to interact comfortably and confidently with a wide range of internal and external stakeholders.
- Ability to work on-site in our Santa Ana office.
- Must be authorized to work in the United States and available for full-time hours (Monday–Friday), with overtime as needed.
Nice to Have But Not Necessary:
- Notary License.
- Experience working in the construction industry.
- Familiarity with Viewpoint Vista or similar ERP systems.
